What is OCR or Optical Character Recognition
OCR is a technology for optical character recognition and their extraction from pictures, scans and PDF files. The technology processes characters and turns them into a code that can be read by a computer. Each character is scanned separately, so you end up with full-fledged editable text files, not a set of JPEG images.
There are three main things to know about OCR technology that are hidden in the abbreviation:
Man recognizes symbols with his eyes and brain. The computer uses a scanner camera that creates a graphic image of a page of text. For a computer, there is no difference between a scan of a text document and an image: both are a collection of pixels.
By symbols we mean any composition of pixels or elements that form a letter. A distinctive feature of the technology: it works with both printed and handwritten fonts.
OCR uses a combination of technology and equipment. An optical scanner helps create a digital image. The OCR software identifies the letters in this image and converts them into words.
This method works by identifying the character as a whole. We can identify a line of text by finding rows of white pixels with rows of black pixels in between. In the same way, we can see where a single character starts and ends.
The recognition program converts an image file with characters into a binary matrix: white pixels are 0 and black pixels are 1. It then maps the character to a particular font letter.
The next step was to improve the accuracy of OCR. Later, artificial intelligence began to be used for this.
You know that it's quite easy to take words from a computer screen and transfer them to a physical sheet of paper - just press the print button and in a few moments the document will be in your hands.
But transferring a scanned paper document to your computer is actually a bit more complicated. Obviously, scanners are pretty straightforward to use, but they essentially only create a digital image of a document and store it on the computer. This image is usually not very clear due to file compression and dust particles in the scanner.
But most importantly, you cannot edit scanned documents with a text editor. This is because the scanner does not recognize every single character.
Here's how the OCR software understands what it's looking at:

The data extraction process starts after you load the document.

The first step is to cull artifacts so that the OCR program can focus on the text - it removes image and graphic defects.

The OCR program straightens text and converts any colors or grayscale in the image to black and white. In this case, black is considered as symbols, and white is considered as background.

The next step is to determine which characters are on the page. Simpler forms of OCR compare each scanned letter pixel by pixel against a database of fonts and decide on the closest match. More intelligent OCR technology breaks each character into elements such as curves and straight lines. It matches physical features and real letters.

Sometimes OCR also uses a built-in dictionary to help recognize a word if it has been misspelled.

When a character is identified, it is converted to an ASCII code that can be used by computer systems. Before saving for later use, the processed texts must be checked for errors.
This technology is remarkable in that it can be used in any industry where companies deal with text data. So, in essence, it is suitable for all departments: finance, legal, sales and marketing, HR, purchasing.
